Job Brief:
We are seeking an executive assistant to be the supportive force that empowers our client and their executives. The perfect person for the role will be a proactive problem solver with outstanding communication skills and keen attention to detail. He/She will have past experience working in an office environment, fulfilling administrative duties and rendering support to management. The EA will contribute to the efficiency of the business by providing personalized and timely support to executive members.
Role Objective:
Supporting the CEO, render support to the executive team as directed to guarantee that company goals and objectives are accomplished, and operations run efficiently
Maintain and improve internal processes that support to the highest-ranking executives company-wide, harmonizing internal and external resources to expedite workflow
Manage interaction between upper management and employees, liaising with internal and external executives on various projects and tasks
Plan and organize work to ensure the senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld
Key Responsibilities:
Manage the professional and personal calendar for CEO, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics
Coordinate complicated scheduling and extensive calendar management, as well as administration of content and flow of information to senior executives
Manage, coordinate, and array senior executives’ travel and travel-related activities, including hotel bookings, transportation, and meal coordination
Complete organizational and office support, such as typewriting, transcription, spreadsheet preparation, faxing, and maintenance of the filing system and contact database
Sustain professionalism and stern confidentiality with all materials, and exercise caution when interfacing with the business
Organize team communications and correspondents, and plan events, both internally and externally.
Skills and Qualifications:
1-2 years experience in an administrative role reporting directly to management
Excellent written and verbal communication skills
Reliable time-management skills and the experience to organize and coordinate multiple projects at once
High proficiency in Microsoft Office and other office productivity tools, with quickness to learn new software and systems
Flexible team player prepared to do what it takes to get the job done; versatile and enjoys a challenge
Reliability to keep company confidences

Experience creating internal processes and filing systems
